An Admin Buyer's 5-Step Checklist for Buying Insulated Gear That Lasts

I'm the office administrator for a 120-person company. I manage all non-IT purchasing—roughly $300,000 a year across 15 vendors. I report to both operations and finance, which is a polite way of saying I get pulled in two directions: ops wants gear that works, finance wants gear that's cheap.

The tension between those two is exactly why I built this checklist.

It took me 3 years and about 200 orders to understand that the "right" insulated product is never just about the price tag. This checklist is for anyone who buys jackets, workwear, boots, or even bedding for a team—and needs to justify those purchases when finance asks hard questions.

Here are the 5 steps I now use for every insulated-product purchase.

Step 1: Define the use case before you open any browser tab

The biggest mistake I made early on was looking at products before defining the problem. You need to answer three questions first:

  • Who is using this? Field techs? Warehouse staff? Guests in a company apartment?
  • What conditions will they be in? Cold storage? Outdoor winter rain? Dry, freezing air?
  • What's the expected lifespan? One season of promo gear, or 3-5 years of daily wear?

When we ordered jackets for our field technicians, I initially specced them using temperature ratings alone. Actually, "specced" is too strong—I looked at temperature ratings and assumed that was enough. Then I went out with the crew one morning. It was drizzly, windy, just above freezing. The temperature rating didn't matter nearly as much as the dampness. Wet cold is a completely different buying decision than dry cold.

That's when Primaloft entered the picture for me. Most synthetic fills—like basic polyester batting—lose loft when they get damp. Primaloft is engineered to resist water, so it holds its structure better. I'm not going to claim it's "warmer than down" because that's not a meaningful statement across all products. What I can say from my own experience is that it keeps performing in wet conditions where down and basic polyester don't.

Step 2: Understand what the material labels actually mean

Once you know your use case, you have to read labels like a buyer, not like someone reading marketing copy.

The most common question I get from staff is: What is 100 polyester?

Polyester is a synthetic fiber made from petroleum. "100 polyester" just means the fabric or fill is entirely polyester with nothing else blended in. In insulation, polyester is the base material for most synthetic fills. It's cheap, durable, and dries fast. But not all polyester is created equal.

Here's the difference in plain English:

  • Basic polyester batting—a flat layer of fibers. It traps some air, but compresses quickly and loses warmth over time.
  • Microfiber polyester—finer fibers, higher warmth per gram, but still prone to compression.
  • Engineered insulation like Primaloft—fibers are designed to mimic the structure of down, mixing coarse and fine fibers to trap air more effectively. It's a different animal from the polyester batting in a $30 throw blanket.

You'll also see "Primaloft Gold" or "Primaloft Silver" on tags. Those are quality tiers within the brand. Gold is the premium option—higher warmth-to-weight ratio, if I remember correctly. Silver is the mid-tier. Don't quote me on the exact spec numbers, but the general idea is Gold is lighter and warmer per gram.

One product our team flagged for me is the norrøna trollveggen primaloft jacket. Norrøna is a Norwegian outdoor brand, and the Trollveggen line uses Primaloft. I haven't ordered any for our company—it's a serious mountain jacket, probably overkill for our field crew—but it's a useful reference point. If a maker of climbing gear chooses Primaloft, that tells me the insulation is legit.

Step 3: Run the care-and-maintenance math

This is the step most people skip, and it's the one that bit my budget.

Back in 2023, someone on our team requested a jacket from a well-known brand. Great jacket. But the care label said "professional cleaning recommended." At $18 per clean, with 12 jackets and two cleanings per season? That's $432 a year in upkeep—on an item that cost $180 each. The cleaning costs more than the jacket over its lifetime.

So here are the fabric questions I've learned to ask:

Will rayon fabric shrink?

Yes. Rayon is a semi-synthetic fiber made from wood pulp. It shrinks in the wash, especially in hot water or a machine dryer. If you're buying anything with rayon content for a team, either budget for dry cleaning or set a strict hang-dry rule. Personally, I now avoid rayon blends entirely unless the supplier sends written care instructions.

What about the insulation? Can it survive a machine dryer?

In my experience, Primaloft handles machine washing and low-heat drying much better than down. Down needs special detergent and careful dry cycles to restore its loft. Primaloft is more forgiving. That's a huge advantage when you're managing a team that will absolutely not hand-wash their gear.

A quick detour into bedding, because I know I'm not the only admin buyer who handles this.

We use quickzip duvet covers in our corporate apartment—the brand QuickZip, known for the zipper closure instead of buttons. Why does this belong in an article about insulated gear? The example that made me commit to TCO was insulated footwear for our warehouse staff. A budget boot was $85. The better option was the New Balance 1906r primaloft—which, you might think, is a running shoe, not a work boot. But the 1906r primaloft version is genuinely warm, and warehouse staff who tried a pair loved them. At $130, they seemed pricey.

The $85 boots lasted about 10 months before the insulation packed down. The 1906r boots are at 18 months and still feel solid. Over three years, the cheap boots cost roughly $255 (three replacements). The 1906r boots cost about $260 (two replacements). Nearly identical TCO—but the staff far preferred the New Balance fit and comfort. Small sample size, sure, but the framework is what matters.

Step 5: Order samples and run a pilot before you commit

This step has saved my budget more times than I can count. Don't order 50 insulated jackets based on a spec sheet. Order two or three samples and test them.

Here's what I test:

  • Wash test. Run one sample through the harshest wash cycle anyone would realistically use. Does the insulation still look puffy after one wash? After five?
  • Fit test. Try the sample on different body types. A jacket that fits one person might not fit another.
  • Use test. Wear it in actual working conditions, not just the parking lot.
  • Drying test. How long does it take to air dry if a dryer is not available? This matters more than you'd expect.

A pilot also earns buy-in from the team. People feel like their input mattered, and they take better care of gear they helped choose. If you're buying for other people, that's not a small thing.

Common mistakes I've made so you don't have to

Mistake #1: Ignoring the care label. Go back to the rayon question. Rayon shrinks. Polyester doesn't. Insulated gear is often made of multiple materials. Read the actual garment label, not just the product page.

Mistake #2: Assuming all synthetic insulation is the same. There's a world of difference between basic polyester batting and engineered Primaloft. If a product page says only "synthetic insulation" without naming what it actually is, that's usually a red flag.

Mistake #3: Forgetting the care chain. Who is going to wash these items? You? A contract laundry service? The employees themselves? Our contract laundry service initially said they'd handle insulated jackets—then we discovered they only use hot water cycles. That's a conversation we should've had during the buying phase, not after 15 jackets went through a hot wash.

Mistake #4: Not checking the fill weight. Primaloft is used in everything from lightweight shell layers to serious winter parkas. Same name, very different products. Ask for the specific Primaloft type and fill weight, not just "it has Primaloft."

Final thoughts

This checklist was accurate as of my experience through late 2024. The insulation market moves fast, so verify current product specs and pricing before you commit. But the framework doesn't change: define the use case, understand the materials, run the care math, calculate TCO, and pilot before scaling up.

It's not glamorous work. But when the winter order arrives and the team is warm, dry, and comfortable—that's a genuinely good feeling. So glad I started buying this way. Almost ordered another batch of the cheap polyester jackets, which would have meant a second winter of cold, grumpy employees.
